Client Policies

Payment & Billing

Payment Structure

  • All services: Payment required in full upfront before work begins

  • Large projects: Payment plans available by arrangement

Monthly Service Billing

  • Invoices are issued on the 1st of each month for ongoing monthly plans

  • Payment due within 7 business days

  • Services suspended immediately for outstanding balances

Payment Methods

  • Check, Cash, Direct Deposit, or Bank transfers

Refund Policy

  • Deposits: Non-refundable once work begins

  • Photography: 72-hour cancellation notice required

  • Canceling monthly services: Clients must provide 30 days written notice before discontinuing services

  • Completed work: No refunds for delivered and approved work

Client Satisfaction & Dispute Resolution

  • Concerns: Contact Karrels Design directly to discuss any purchase concerns

  • Resolution commitment: We work with clients to find mutually agreeable solutions

    Dispute process: If direct negotiation is unsuccessful, both parties may seek counsel to facilitate resolution

Photography Print Policy

  • All physical Fine Art Photography Prints include USPS insurance and tracking:

  • Damaged prints: Report damage with clear photos within 15 days of delivery for free replacement

  • Non-delivery: Contact within 15 days if tracking confirms non-delivery for free replacement

  • Claims deadline: Reports after 15 days are not eligible for replacement

Scheduling & Communication Standards

Client Responsibilities By signing the contract, clients agree to:

  • Be collaborative and responsive throughout the project

  • Make time for scheduled meetings and photoshoots

  • Maintain regular communication and meet deadlines

Cancellation & Rescheduling Policy

  • Advance notice: Notify Karrels Design immediately when rescheduling is needed

  • 72-hour window: First last-minute cancellation is waived; additional cancellations incur $200 fee on top of the monthly service fee

  • Same-month requirement: Canceled appointments must be rescheduled within the same month

  • Two-strike policy: After two cancellations without rescheduling, services will be discontinued by Karrels Design

Timeline & Delay Management

Emergency Delays

  • One-time waiver for illness, weather, or family emergencies

  • Additional delays after first waiver incur $200 monthly fee

Delay Triggers Timeline extensions occur due to:

  • Late content delivery or feedback

  • Missed appointments or extended non-communication

  • Failure to reschedule within monthly planning cycles

Contract Termination

Grounds for Termination Karrels Design reserves the right to terminate contracts when clients:

  • Fail to fulfill payment obligations

  • Do not maintain collaborative, responsive communication

  • Repeatedly delay projects or miss scheduled commitments

  • Violate the two-strike rescheduling policy

Termination Process

  • Immediate termination for breach of payment or communication terms

  • All completed work delivered upon final payment

  • No refunds for services already rendered
